Payroll & HRIS Coordinator

Location: Geyserville, California

Job Summary:

Provides administrative support to the HR Department through administration, coordination and application of winery-wide HR policies, procedures and practices.  Processes bi-weekly payroll, manages all aspects of HRIS data and ensures compliance with wage and hour law.

Payroll: (50%)

  • Administers payroll-related functions including but not limited to processing new hires, terminations, wage garnishments, deduction updates and all entry related to employee master file.
  • Manage the Express Net payroll process.
  • Ensures all biweekly payrolls are processed in a timely and accurate manner.
  • Train new managers on proper timekeeper procedures.
  • Perform all timekeeper audits (no lunch violations, PT/FT hours audits, & no hours worked)
  • Communicate audit findings to POps Team.
  • Merge journals and deliver payroll audit reports to POPs director for final review.
  • Send final payroll that has been approved by CFO to Ascentis.
  • Process manual checks as needed.
  • Responds to payroll-related inquiries including but not limited to, payroll deductions, wage garnishments, child support payments, PTO and Sick accruals, retroactive pay calculations, tax questions, employment verifications and resolves employee paycheck issues.
  • Assist with preparation for annual payroll audits.

HRIS Administration (30%)

  • Manage the eMAC data entry process, new hires, terminations, job/comp/org updates, and general system updates.
  • Ensure that all POPs payroll forms are up to date, accurate and consistent.
  • Update ESS with all forms and design new widgets as needed. Keep up to date on system upgrades and evaluate what should be implemented to better current systems.

Reporting (20%)

  • Responsible for all after payroll overtime reports, labor distribution, general ledger, audits and hours audit reports.
  • Run monthly reporting for beginning and end of month headcount, new hires and terminations.
  • Complete multiple-worksite reporting.
  • Train supervisors on how to run reports in ExpressNet, timekeeper.
  • Work with payroll vendor on all necessary tax reporting and work with POPs Director to resolve issues that arise.
  • All other duties as assigned.

Job Requirements: 

  • Education/Experience: Minimum of three years experience. 
  • Skills:  Ability to manage and prioritize workload and projects.  Computer proficiency in MS Office, Express Net Timekeeper and HRIS experience a plus.  Exceptional customer service skills.  Ability to maintain positive work atmosphere by communicating effectively with clients, vendors, coworkers and management. 
  • Knowledge:  Knowledge of Payroll systems, HRIS and Timekeeper.
