Sales Support Coordinator

Location: Geyserville, California

Essential Duties and Responsibilities:  

  1. Customer Service (50% to 80%)
  • Daily tracking and reporting of wine sales, as well as final month-end reports to the sales team
  • Process wine orders for: FCW, VDW, Export, Distinctive Label, Private Label, Internal Channels
  • Process food orders for Francis Coppola Foods, LLC (a small Coppola food company)
  • Manage shipments with outside warehousing, as well as internal warehousing
  • Monitor and manage allocations per market
  • Manage customer service communication with company distributor buyers and freight carriers
  • Process Trade Spend invoices: Includes working close with distributors, FCW sales team and accounting team
  1. Sales Support (20% to 50%)
  • Communicating inventory levels, product pricing, department allocations and hold orders with sales team and department managers
  • Administrative functions including, but not limited to typing, filling, answering telephone, scheduling meetings and conference calls, handling mail, making travel arrangements
  • Manage logistics for trade fairs and events including, but not limited to: Registration, wine shipments, marketing, POS materials and related coordination with event organizers
  • Trade Spend support of all distributor invoices – scanning to field sales, filing approvals, submission
  • Respond to consumer inquiries, and complaints
  • Maintain department sales team contact data, pricing, new items and vintage changes
  • Maintain distributor and freight/carrier data
  • Gather key information from production department for weekly reporting of inventory levels for new items, discontinued items, items with packaging changes, to sales team
  • Develop spreadsheets as directed
  • Special projects and other duties as assigned by manager
  1. Trade Support (10%)
  • Manage and coordinate all requests for trade tours and tastings

 

Supervisory Responsibilities: N/A

 

Education/Experience:  High School Diploma and 3-5 yrs related experience and/or training; or equivalent combination of education and experience. Wine industry experience preferable.

Knowledge, Skills & Abilities: 

  • Proficient in Microsoft Outlook, Word and Excel, (JDE system experience a plus)
  • Knowledge/experience with scheduling of freight carriers
  • Knowledge of wine shipping, traffic, and order entry
  • Accuracy: Ability to perform work accurately and thoroughly
  • Communication: Ability to communicate in writing clearly and concisely
  • Detail Oriented: Ability to pay attention to the minute details of a project or task
  • Innovative: Ability to look beyond the standard solutions
  • Interpersonal: Ability to get along well with a variety of personalities and individuals
  • Organized: Possessing the trait of being organized or following a systematic method of performing a task
  • Time Management: Ability to utilize the available time to organize and complete work within given deadlines
