Wine Club Coordinator

Location: Geyserville, California
Essential Duties and Responsibilities:

Daily Operations: (60%)
• Ensure smooth daily operations; including effective and appropriate communication, successfully managing task list, and ensure that guests are being engaged and assisted in a timely manner
• Problem solve, resolve and follow up with club members, vendors and other departments
• Data entry including new membership applications, assigning member cards, updating credit cards and addresses, send Welcome Packets to new members, and other duties as assigned.
• Correspond with members, vendors and other departments via phone, mail and email
• Execute wine club shipments including process club payments, monitor membership numbers, update members’ credit cards and addresses, rectify lost or damaged shipments, and resolve customer service issues
• Input and update member data
• Process, redirect, and return club shipments
• Actively resolve orders with shipping errors or miscellaneous issues
• Strive to pursue, resolve, and collect revenue for orders with credit card declines
• Responsible to adhere to department calendars
• Responsible for accurately processing transactions
• Maintain and keep accurate inventories
• Other duties and responsibilities as assigned


Service: (40%)
• Responsible for driving top-line revenue goals
• Write and coordinate email campaigns and respond to all inquiries; convert inquiries into sales
• Actively promote the sale of our wine, events and property to members
• Build relationships with members over the phone, on email and on the property
• Create ways to motivate and incentivize other Hospitality teams to sell memberships
• Create a memorable experience for all members
• Initiate, execute, coordinate and host membership events; handle planning, promotion and manage reservations
• Contribute to the creation of club collateral such as articles, shipment letters, reorder forms, event invitations, and other promotional collateral
• Respond to guest inquiries and concerns promptly and with courtesy
• Ensure that customer service standards and procedures are being upheld
• Define problems and propose solutions; own the problem until it is resolved
• Ensure messaging is consistent and is in line with direction given by your manager
• Be consistent and professional in all communication; verbal, written and non-verbal
• Keep up-to-date with Inter-state shipping regulations and adhere to established policies regarding the shipment of wine
• Keep up-to-date regarding company events and promotions, communicating information as necessary to members

Job Requirements:

Education/Experience:
High school diploma or GED required. One to two years related experience and/or training; or equivalent combination of education and experience

Skills:
Excellent verbal and written communication skills
Excellent analytical and problem-solving capabilities
Ability to manage and prioritize projects under tight time constraints
Highly organized, accurate and detail oriented.
Ability to maintain positive work atmosphere by communicating effectively with clients, management, peers, and subordinates
Computer skills to include: MS Office, Lotus Notes, Internet, RMS and BLoyal.
Ability to promote safety and ability to abide and enforce safety standards
